The Senior Administrative Assistant (Contract), will be responsible for providing key administrative and critical process support to the members of the Hematology/Oncology Business Unit.
Responsibilities will include, but are not limited to, the following:
Scheduling and organizing internal / team / sub-team meetings.
Processing and tracking departmental budgets.
Managing outside courier, mail and fax handling for Business Unit.
Processing and tracking confidentiality agreements and master services agreements as per company SOP. Also responsible for refining SOP as required to ensure 100% compliance and quickest turnaround times.
Organizing central filing / record retention systems as per company SOPs. Updates SOP as appropriate.
Continually managing staff calendars, and departmental planning calendars to ensure most efficient and effective use of staff time. Arranges travel itineraries on an exceptional basis.
Ensures all training materials for new hires are current, properly filed and on hand. Sources additional materials and handles needed changes. Sets up customized on-boarding schedule in collaboration with HR.
Managing docket review process ensuring it meets SOP requirements and timelines.
Managing literature and promotional material inventory, ordering and requests.
Actively participating in weekly meetings.
Is the voice of Celgene Canada to customers calling into the business unit, developing relationships where appropriate.
Is the face of the business unit with internal colleagues, developing very strong working relationships.

Abilities / skills / knowledge required:
A business / administrative school graduate or equivalent in industry experience.
3 years of experience as an administrative assistant preferred. Experience supporting marketing and/or sales in the pharmaceutical / biotech industry an asset.
Must be a team player and be willing to work in an environment where individual initiative and accountability to the team and professional maturity are required.
Must have strong PC experience; MS Office and Outlook expertise.
Must have excellent written and oral communication skills in English; bilingual French is preferred.
Must have demonstrated relationship building abilities with internal colleagues and external customers / suppliers.
Must have a demonstrated ability to build / modify / follow key processes within the department and the organization.
Must be able to work with limited day-to-day supervision.
Must have a demonstrated ability to multitask and show a high level of organization.
This is a contract position.
