Summary/Scope:

The Sr. Administrative Assistant II will be located in our San Francisco, CA office and will perform confidential high level administrative support to ensure assigned individuals, departments and project team operations flow smoothly.

Responsibilities will include, but are not limited to, the following:

Supports several senior staff members; including CVP, VP, Executive Directors, Sr. Director, Directors and their project manager(s) in administrative and support for day-to-day operations. Heavy management of multiple calendars in various time zones, scheduling and coordination of various meetings including preparation of materials. Heavy travel arrangement (domestic and international) including assembling multiple travel itineraries and packets. Submit multiple monthly expense reports in a timely manner. Submit requisitions for POs, consulting agreements and confidentiality agreements. Organize visits from collaborators and/or Celgene colleagues including badge access and guest offices. Assist with lunches and refreshments as needed for staff, meetings, visitors, etc. Order & maintain office supplies. Manage incoming calls to the direct line and other general office duties as needed. Maintain department lists. Assist as back up to Senior Coordinator and provide support to other administrative support team members on an as needed basis. Other administrative tasks, as assigned.

Skills/Knowledge Required:

  • Must be proficient in Microsoft office and have experience with Concur and Intercall or similar programs for travel and expenses and conference calls

  • Must be able to handle highly confidential information with solid judgment and discretion

  • Knowledge of functional business area/team

  • Ability to think independently and anticipate needs

  • Strong follow up and follow through skills

  • Strong interpersonal skill and the ability to build both internal and external relationships

  • Ability to exhibit diplomacy, tact, and common sense under all circumstances

Prerequisites:

High School degree with 7 to 10 years of administrative experience in a business environment with increasing variety and complexity, preferably pharmaceutical industry experience. Demonstrates excellent communication skills both written and verbal.
