Corporate Vice President, Informatics and Knowledge Utilization

DEPARTMENT

Research and Early Development

Under the direction of executive, responsible for complex administrative support duties within the Research and Early Development team. This candidate should have the ability to handle confidential material (with discretion) which is critical to the position. In addition, good interpersonal skills, a team perspective and willingness to work with others are also essential requirements.

Responsibilities will include, but are not limited to, the following:1. Provide administrative support to Vice President and other members of the Informatics and Knowledge Utilization for day-to-day operations as well as individual projects as needed.2. Responsible for complex scheduling and organizing staff meetings across many time zones and locations.3. Responsible for creating and maintaining all record keeping in accordance with record retention policies and legal requirements.4. Manage staff calendars, updating monthly schedule, including scheduling of conference room usage,5. Coordinate complex domestic and international travel arrangements and available to assist with any necessary/last minute changes, and submit expense reports in the Concur expense reporting system primary for Executive and some of his direct reports as needed.6. Prepare and proof presentation materials as needed.7. Responsible for logistics of meetings with external development partners, including scheduling meetings and hosting the visitors which includes ordering catering, coordination for AV/IT support, set-up and cleanup of conference rooms.8. Manage scheduling interviews for candidates, coordinate any necessary details with the recruiting staff. Responsible for assisting with onboarding new staff to RIKU team.

  1. Maintains confidentiality of all corporate matters pertaining to area of responsibility.10. Coordinate contracts/MTAs/CDAs, service agreements with contracts administrator. Assist with PO requests and reconciling invoices in Oracle and Basware as needed.11. Provide backup support to other site admins and Office Assistant as needed. 12. Other duties related to the above within Celgene as a whole, as assigned.

Skills/Knowledge Required:• Must have strong interpersonal and communication skills, be a team player and be willing to work in an environment where individual initiative, accountability to the team, and professional maturity are required.• Must be able to represent the department in a professional manner to internal and external customers.• Must be able to work with limited day-to-day supervision.• High level of commitment and results-orientation is required.• Minimum 3-5 years executive level administrative experience and supporting teams across several time zones is required.• Strong PC experience: Microsoft Office Suite experience required including Microsoft Word, Excel, Outlook, PowerPoint and Project, and expert computer acumen.• Excellent organizational, written and oral communication skills required.• Experience in preparing meeting rooms/logistics, e.g., agenda preparation, meeting room set up, catering• Experience in creating expense reports in Concur and ability to quickly learn and adapt to Celgene`s expense reporting and filing system.• Great attention to detail and tenacious follow up aligned with set processes.
