H.S. diploma or equivalent required, college degree preferred, minimum
3-5 years supporting at executive level required. Relevant experience preferred.
The Roles and Responsibilities of the Sr Administrative Assistant / Coordinator include, but are not limited to, the following:
Supports Quality Assurance & Quality Control teams as primary function; Assists Manufacturing & Operations if the administrative assistant of MFG/OPS is unavailable.
Assists in the deployment of site functions, needs, and events
Serves as a leader for team building, supporting project EFFORTS, AND resolves issues for office needs
Supports management in general administrative and clerical duties for day-to-day operations
Promotes and manages cross functional site events, team building activities, and culture
Prepares and serves as communicator on initiatives and enhances the flow of communication
Manages calendars, meetings, supporting events with discretion for management, as requested
Manages all international/domestic travel bookings, as needed
Handle highly confidential information and draft/distribute agendas, communications, announcements and slides
Manages the budgets, contracts, and coordinates cross functionally, as needed
Assures project coordination and communication with team in the deployment and execution process of department initiatives
Facilitates organization and conduct of meetings utilizing video-conference, teleconferencing, and Webcast meetings
Prepares PowerPoint presentations, as needed
Assist as back up for other Coordinators, Project Manager, and SharePoint activities
Maintain department lists, charts and sub teams lists
Trouble shoot applications and company issues
Communicate and handle incoming and outgoing electronic communications on behalf of site
Organizes, leads, and facilitates logistics and meeting planning for offsite and onsite meetings;arranges guest speakers, staff training, and team building events.
Works independently and uses discretion to determine which activities require involvement of different departments
Performs Office Manager duties and ensures workload balance between departmentCoordinators
Acts as an ambassador and point of contact
Partners with other departments to resolve issues and facilitate resolutions.
Ensures compliance with the Record Retention Program
Oversees relocation, space planning, and executes onboarding of new staff
Submits, processes, tracks, and audits expense reports, contracts, and purchase orders as needed
Responsible to coordinate best practice sharing with other admins and coordinators
Leads ad hoc projects as requested
3-5 years’ experience supporting at the executive level
Excellent calendar management skills, including the coordination of complex executive meetings
Strong knowledge of MS Office, including Word, Excel, PowerPoint, Outlook, SharePoint
Knowledge of MS Project, Visio MS Project Server and One Pager Pro
Excellent interpersonal and organizational skills a must
Demonstrated ability to work well with others within and across functions/teams
Work independently and with very minimum supervision and direction
Capable of managing meetings within a multicultural environment
Ability to adapt behavior to situation
Be adaptable to changing needs constantly
Change Agent in an ever-evolving environment
Able to demonstrate tenacious follow-up
Good analytical and planning skills
Strong communication skills both written and verbal
