Summary/Scope:

Under the direction of senior management, will be responsible for general administrative and clerical support duties within the TD-Clinical Pharmacology department. This candidate should have the ability to handle confidential material which is critical to the position. In addition, good interpersonal skills, a team perspective, and willingness to work across departments are essential requirements.

Responsibilities will include, but are not limited to, the following:

Operational:◦Provide administrative support for the Corporate Vice President, their direct reports, and other department members as needed.◦Maintain complex calendar for the CVP.◦Responsible for scheduling, organizing and coordinating meetings within a multicultural environment, for the entire department and for teams within the department, including catering and AV/IT support when required.◦Prepare and submit expense reports in the Concur system for the CVP and an Executive Director.◦Attend meetings and write meeting minutes as assigned.◦Maintain training records for the department and update annually. This includes printing Compliance Wire training completion reports to include in the record files.◦Purchase and maintain office supply inventory, and arrange for repair and maintenance of office equipment.◦Telephone coverage for the CVP.◦Manage candidate interview schedules, including presentations and catering when required, and coordinate details with the recruiting staff.◦Coordinate onboarding of new employees and contractors which includes desk set up, requests for access to required network systems, adding the new hire to all necessary meetings in Outlook and to department contact lists, etc.◦Manage requests for Consulting Agreements and Mutual Confidentiality Agreements. Liaise with the Legal department or Portfolio Sourcing Relationship Management, through the agreement execution process. Handle related POs and invoices after the agreements have been executed.◦Annual records retention/clean out coordinator for the department.◦Prepare travel arrangements and logistics for conferences/meetings as needed.◦Operational and logistical troubleshooting and other duties as requested/assigned.

Technical:◦Assist in the preparation of presentation materials, including technical support as needed (e.g., Microsoft applications, WebEx, teleconferences).◦Upload and maintain documents in the Clinical Pharmacology SharePoint site.◦Act as administrator for the TD-CP intranet page by adding and editing content.

Skills/Knowledge Required:

Competencies:◦Excellent organizational, written, and oral skills.◦Experience in calendar management, and meeting preparation including meeting rooms/logistics, agenda preparation, catering, etc.◦Strong PC experience with MS Office Suite including Word, Outlook, PowerPoint, Excel.◦SharePoint, Visio and Project skills desirable.◦Effectively run WebEx and other electronic meeting formats.◦Experience in using Concur or a similar platform, to make travel arrangements and create expense reports.
